Short answer

If you lose your home-country passport in Japan, report it to the police and then to your embassy, which will usually want that police report. As of October 2026 the examples we checked charge ¥30,000 (Philippines) and ¥35,000 (Nepal), and Pakistan doubles its normal fee. Your residence card is a separate document, but without a valid passport you cannot use no-permit re-entry. Immigration pages say valid permission stamps can be transferred and a written statement covers a passport you cannot show.

If you lose your home-country passport in Japan, report it to the police, then to your embassy. Most embassies want the police report and treat a lost passport as a more expensive replacement. As of October 2026 the examples we checked charge ¥12,700 (Indonesia), ¥30,000 (Philippines) and ¥35,000 (Nepal), and Pakistan doubles its normal fee. Your residence card (在留カード) is a separate document. Without a valid passport you can’t use no-permit re-entry, so plan trips around the replacement.

What are the steps?

After losing a passport in Japan
  1. You, police Look, then file a lost-item report (遺失届) Tokyo police say any police station or koban will take it. They can't accept losses that happened abroad.
  2. You Ask the police for the document your embassy wants Embassies name different papers. See the table below, and ask your embassy what it accepts.
  3. You, embassy Contact your embassy Book or register as its page says. India's Tokyo embassy asks you to report at once to the embassy and the police.
  4. You Apply in person with the police report and ID Bring the documents your embassy lists, such as the police report, a copy of the old passport if you have one, and the fee.
  5. You, immigration bureau Tell immigration if you need to Copy valid stamps across, or give a written reason if you must show a passport you don't have.

If your passport was stolen, tell the police that it was stolen. We didn’t find an official Japanese page on the theft report, so ask your embassy which police paper it accepts.

What do embassies ask for and charge?

Examples from each embassy’s own page, read on 29 October 2026. Check yours before you go.

Country What it asks for Fee
Philippines Treated as a new application. Online appointment, affidavit of loss, PSA birth certificate, two valid IDs, police report in English, ¥600 Letterpack ¥30,000 including the lost-passport penalty
Pakistan Passport number (compulsory), a police report that states the lost passport’s number, passport copy if any Double the normal fee; four times for a second loss
Indonesia We couldn’t verify the lost-passport rules (the embassy page loads dynamically). Check it directly Not verified
Nepal Online pre-enrollment as “Replacement (Lost/Stolen)”, Nepali citizenship certificate, copy of the passport if available, police report ¥35,000
India Report immediately to the embassy and local police; the page doesn’t list documents Not listed on the page we read

Extra points:

  • Philippines: you must appear in person on your confirmed appointment date. The page says a translation of the police report can be applied for at the Embassy.
  • Pakistan: a third loss needs approval from the immigration and passports directorate in Islamabad. Normal delivery takes at least 20 working days, and you must attend for photo and fingerprints.
  • India: Machine Readable Passports are issued centrally in New Delhi and take 4 to 6 weeks. The embassy suggests keeping a photocopy of the data and stamp pages separately from your passport, which helps if you lose it.

We found no official Tokyo page we could verify for Bangladesh, Vietnam or Sri Lanka, so they aren’t covered.

What does it do to your residence card and visa?

The immigration pages we read don’t say that a lost passport changes or cancels your status of residence, and your residence card is issued separately. What they do cover:

  • No-permit re-entry needs a valid passport. The Immigration Services Agency (ISA) says the system (みなし再入国許可) requires a valid passport and, for mid- to long-term residents, a residence card. Until the new passport arrives, don’t plan to leave and return without checking. See the re-entry permit guide.
  • Showing a passport at the bureau. For a change to your residence card, you must show your passport. If you can’t, you submit a written statement explaining why. Forgetting it at home doesn’t count as a reason.
  • Old stamps. With a new passport you can ask the bureau to copy valid landing, re-entry or activity-permission stamps over, using a 証印転記願出書.
  • Extension while you wait. The ISA says that if you can’t obtain a valid passport because of your home country’s circumstances, you can still apply for an extension with a reasonable explanation. Waiting for an embassy queue is a different case, so ask the bureau how it would treat yours. See visa renewal.

How do you prepare before it happens?

  • Keep a photocopy of the passport’s data page and stamp pages somewhere separate. India’s embassy suggests this, and several embassies ask for a copy of the lost passport.
  • Know your passport number. Pakistan marks it compulsory for a lost-passport replacement.
  • Know which embassy covers your prefecture, since some cover only part of Japan.

For a normal renewal, see renewing your passport in Japan. This page is general information, not legal advice. For your own visa questions, ask the immigration bureau or an immigration specialist (行政書士).

Questions people ask

What should I do first if my passport is lost in Japan?

File a lost-item report (遺失届) at a police station or koban. Tokyo police say any station will take it, but not for losses abroad. Then contact your embassy. India's Tokyo embassy says to report to both the police and the embassy immediately.

Does losing my passport cancel my visa or residence card?

The immigration pages we read don't say a lost passport changes your status of residence. Your residence card is separate. What you lose is the ability to use no-permit re-entry and to show a passport at the bureau. Ask the bureau about your own case.

How much does a replacement cost?

It depends on the embassy. Examples checked in October 2026: the Philippines ¥30,000 including a penalty, Nepal ¥35,000. Pakistan doubles its normal fee for a first loss and charges four times the fee for a second.

Do I need an English police report?

The Philippine Embassy asks for a police report in English and says a translation can be applied for at the Embassy. Nepal asks for a police report, with a sample on its site. Ask your embassy which document and language it accepts.

Can I move my old permission stamps to the new passport?

Yes, for valid landing, re-entry and activity-permission stamps. Submit a transfer form (証印転記願出書) at the immigration bureau for your address, with the old and new passports. If the old one is lost, ask the bureau what it needs.
